This notice describes how we collect and use personal data when you visit swiss-institutional.com, fill in a form, subscribe to our newsletter, register interest in an event, or otherwise interact with us through this website. - Form responses and inquiries. When you write to us or submit a form, we process your data to respond. Legal basis: legitimate interest and, where applicable, pre-contractual measures.
- Operation, security, and improvement of the website. Server logs and aggregate analytics. Legal basis: legitimate interest in providing a secure and functional website.
- Editorial and partnership communications to existing contacts. Where we have an existing relationship and you have not objected, we may send occasional editorial or partnership-related messages. You can opt out of these communications at any time. Legal basis: legitimate interest, balanced against your right to object.
How we store and process data
Contact data, form submissions, and email communications collected through this website are processed and stored in HubSpot, our customer-relationship and marketing platform, on servers located in the European Union (Frankfurt, Germany). HubSpot acts as a data processor on our behalf under a written data-processing agreement.
HubSpot maintains recognised security certifications including ISO 27001 and SOC 2, and the data-processing arrangements comply with Swiss FADP and EU GDPR transfer requirements.
Sharing your data
We do not sell your personal data, and we do not share it with third parties for their own marketing purposes.
We rely on a limited number of service providers (processors) to operate this website, including HubSpot for CRM and marketing automation (EU servers), our hosting and email infrastructure providers, and — where you have consented — analytics providers. All processors operate under written data-processing agreements that bind them to the same standards we apply ourselves.
If we transfer data outside Switzerland or the European Economic Area, we ensure that appropriate safeguards are in place — typically the European Commission's Standard Contractual Clauses, complemented by the Swiss adequacy supplement where applicable.
How long we keep your data
We keep personal data only as long as necessary for the purposes for which it was collected, or as required by law:
- Newsletter subscribers: for as long as your subscription is active. Once you unsubscribe, your data is removed from active marketing lists within 30 days.
- Event registrations and applications: for the duration of the event and a reasonable follow-up period (typically up to 24 months after the event), then archived or deleted.
- General contact and inquiries: typically up to 36 months after our last interaction.
- Server logs: typically 90 days, longer only where required for security investigations.
- Accounting records: as required by Swiss commercial and tax law (currently 10 years).
Your rights
Under Swiss FADP and, where applicable, EU GDPR, you have the right to:
- request information about the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request deletion of your data, subject to applicable retention obligations;
- object to processing based on legitimate interest;
- withdraw consent for processing based on consent, at any time, without affecting the lawfulness of processing prior to withdrawal;
- request a copy of your data in a structured, commonly used format (data portability);
- lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC, edoeb.admin.ch) or, if you are based in the EU, with the supervisory authority in your country of residence.

Newsletter and marketing emails
You can unsubscribe from our marketing emails at any time using the unsubscribe link at the bottom of every email, or by writing to contact@swiss-institutional.com. Unsubscribing from one type of communication does not affect transactional messages — for example, confirmations for events you have registered for.
Data security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These include encryption in transit (TLS), access controls, regular security reviews of our processors, and staff training. We rely on platforms (HubSpot, our hosting provider) that maintain recognised security certifications including ISO 27001 and SOC 2.
Children
This website is intended for professional audiences and is not directed at children. We do not knowingly collect personal data from children under 16.
Changes to this notice
We may update this notice from time to time to reflect changes in our practices or legal requirements. The “last updated” date below indicates when the most recent revision took effect. For material changes, we will notify newsletter subscribers by email.
